The University of Florida is committed to keeping you informed as we continue our transition to the new myUFL systems. To help you with the transition, each week you will receive a Bridges Advisory.

BRIDGES INVITES YOU TO TRY OUT THE UPGRADED FINANCIAL SYSTEM. An upgrade to Service Pack 2 (SP2) for myUFL Financials is currently scheduled for the March 12-13 weekend. Service packs are how major product updates are distributed. We must be current with the latest updates from PeopleSoft in order to receive full technical support and benefit from future PeopleSoft enhancements.

Bridges invites campus end users to participate in the User Acceptance Testing phase of this upgrade. To participate, you just need to sign on to the mybeta portal with your GatorLink username and password between Monday, February 28 and Friday, March 4. Any changes to this schedule will be posted in the Alert Notices.

As part of the testing, it is very important that we hear from you and your colleagues. This will allow us to identify and correct problems before the upgrade on March 12-13.

Send us an email describing your experience with using mybeta. If you encounter any problems or error messages, please send the following information to mybeta@ufl.edu (beginning Monday, February 28):

  1. Your GatorLink and UFID.
  2. The navigation you used and the actions you took on the ensuing page.
  3. The results that happened versus the results you expected.
  4. The last thing you did if you received an error message, blank screen, etc.
  5. The exact wording of any error message.

We encourage you to also send your overall impression of the upgrade to help us prepare new training materials. Please tell us if you encountered anything unexpected, if you saw a significant change in how you do a specific task, if the system seemed slower or faster, etc. The more information you provide, the more likely we can identify a problem or fine tune the system.

OPEN LAB SCHEDULE FOR MARCH. The Bridges Open Labs will continue to run through March on the same schedule: Tuesday mornings (8:30 - 11:30 am) and Thursday afternoons (1:30 - 4:30 pm).

DSA TRAINING. All Department Security Administrators are required to attend the new course, "Understanding Your Role as a Department Security Administrator." This two-hour workshop will be held at the Reitz Union and registration is required. Topics covered include the responsibilities of a DSA, using the Access Request System, role-based security, internal controls, and segregation of duties. Bridges staff will also walk you through the new and updated resources soon to be posted on the Web site.

The classes begin Thursday, March 10. To see the complete schedule and register, please go to the Bridges Web site > Training > Registration.

myUFL's EMPLOYEE SELF-SERVICE FOLDER WILL BE REMOVED. On March 4, the Employee Self-Service folder in myUFL will be removed. The information in this folder is also found in My Self Service. (Note: Travel and Expense links were removed on February 18 but the folder still exists.) Bridges is constantly looking to reduce the size of the myUFL Menu by deleting duplicate or unnecessary menu items.

Instruction guides that currently direct end users to Employee Self-Service have been revised to direct end users to My Self Service. The rest of the instructions remain unchanged.

Beginning today, those who report time and leave in myUFL can and should use My Self Service > Time Reporting. Those who complete and view travel transactions can only perform these tasks using My Self Service > Travel and Expense.

UPGRADED REPORTS FOR RETRO COST DISTRIBUTIONS. Do you need to know what the effect was of the latest Payroll Cost Run? The Retro Cost Distribution reports have been upgraded to include options to get Retro Payroll Cost Change reports based on the Run Date in addition to the initial option of reporting by Pay Date. This Prompted report was requested by many users and is now available to help you reconcile.

You must have UF_ER_HRPR_ALL, UF_ER_HRPR_Pay_ALL, or UF_ER_HRPR_Pay_CurrPay Cycle to view this report located at:

These reports will also be available in a delivered report version following future retro runs.

NEW REPORTING ROLE REQUIRED FOR AD HOC QUERIES. Many Enterprise Reporting users want to write their own custom or ad hoc queries. In order to enable this optional capability in the new version of Enterprise Reporting you should request the user security role that has been set up for this purpose: UF_ER_CRN_QUERY_STUDIO. Please contact your Department Security Administrator if you need this role.

Once the role is assigned to you, the ad hoc report functionality, called Query Studio, will then be available based on the folder access that you already have in place. If you can see Payroll data then the ad hoc tool would allow you to create custom queries on Payroll data but not other types of data to which you do not have access.

UPDATED ENTERPRISE REPORTING CATALOG NOW AVAILABLE. An inventory of all reports available in Enterprise Reporting is updated on an as needed basis. This catalog was temporarily removed from the Bridges Web site due to the upgrade to Enterprise Reporting. It is now updated with the new file structure. This report catalog is helpful when deciding what user security roles to request.

NEW AM850 PAGELET IN PORTAL. This past weekend Bridges added a new pagelet to the myUFL portal - AM850 News & Sports. Personalize your portal pages by adding this new source of information or choosing from several other news sources. Simply select the tab in which you want the pagelet to appear, then click on Personalize Content under the Top Page tab and look for AM850 in the News category. Remember to click the Save button.

You can change how the pagelets are displayed on your portal pages by clicking on "Personalize Layout."

INFOPAC IS NOW VIEWDIRECT. The Bridges Web site and the NERDC menu has been modified to reflect the renaming of INFOPAC to ViewDirect. The product is exactly the same, just the name has changed.
