The University of Florida is committed to a smooth transition to the new myUFL systems this summer, which will affect every employee to some degree. To help you with the transition, each week you will receive a Bridges Advisory.

HELP DESK TICKETS. The University continues working through the backlog of Help Desk tickets and we appreciate your patience. Between June 27 and August 21, the UF Help Desk received more than 25,000 phone calls (82 percent increase over same time period last year), 302 walk-ins (not including Bridges TLC) and nearly 5,000 emails (181 percent increase). The Help Desk has referred roughly 9,000 tickets to the Bridges teams. Many problems have been resolved by the first tier support at the Help Desk, particularly browser or GatorLink issues.

The Division of Human Resources and Finance and Accounting are handling the new tickets as they come in, while Bridges team members are handling older tickets. We encourage those who have an outstanding issue to check the status of the ticket at http://helpdesk.ufl.edu. If you are calling the Help Desk about an ongoing issue, please provide the ticket number if possible. When calling the Help Desk it is best to provide the complete navigation to where you are having problems and the exact text of the error message received.

eRECRUIT IMPROVEMENTS AND ENHANCEMENTS. We have made several changes to eRecruit that we believe will be helpful to both the applicants and those involved in the hiring process:

  1. Additional instructions and information regarding attaching a resume to the on-line application now exist on the first page of the on-line application.
  2. Originators and Authorizers can now access the area in eRecruit that allows them to route applicants, to indicate acceptance of an offer for TEAMS and faculty searches, and to place in ‘Ready to Hire’ status for OPS and student assistant searches. Navigation: Manager Self Service > Recruiting Activities Home > Track Applicant Activity.
  3. Unneeded links have been removed in Manager Self Service > Recruiting Activities Home, including the Review Requisition Status (which prematurely revealed non-routed TEAMS applicants).
  4. Various issues that previously kept those on the Interview Team from viewing applications routed to them have been resolved. All Interview Team members for future requisitions should have success in viewing those applications routed to them.

ROUTING OF ON-LINE RESUMES/APPLICATIONS TO REVIEWERS. There are two ways on-line resumes (also known as applications) get routed to others for review. For TEAMS positions, if an individual is on the Interview Team, applications will be routed automatically to them for review in the portal via My Self Service > Jobs at UF > Review Applicants.

For faculty, OPS or student assistant positions, applications flow directly from the applicant to the Originator. The Originator must route the on-line application/resume for each applicant one at a time to those on the Interview Team via Manager Self Service > Recruiting Activities Home > Track Applicant Activity.

TERMINATED EMPLOYEES WILL TEMPORARILY CONTINUE TO SHOW UP IN TIME AND LABOR. Employees whose appointments have been terminated and time reporter data inactivated are still appearing in the Time and Labor screen. Please be assured that these employees cannot be paid in the system due to the inactive status and that the Bridges team will correct this in the future after more critical issues are resolved.

NEW ENTERPRISE REPORTING REPORTS. There are several new reports available in Enterprise Reporting. Access to Enterprise Reporting is available to any faculty or staff but does require the UF_ER_USER role for general access and may require additional roles depending on the type of information and level of detail.

New reports in Enterprise Reporting > Human Resources Information > My UFL HR and Payroll > Benefit Information > Leave include:

• FMLA Leave by Department
• FMLA Leave by Employee ID
• Reported Time and Leave by Department*
